Terms and conditions


Training courses

1. Confirmation of Service

Bookings must be confirmed in in writing by returning this form along with a copy of your purchase order number – if required for payment.

2. Fees

Payment terms are 30 days following the date of invoice (unless stated differently on the back of the invoice) or at least one week before the course starts – whichever is sooner. Non-receipt of payment under these terms may result in the learner not being able to attend the course.
 
Fees quoted are correct at the time of publication or production of service proposals. RoSPA (REL) reserves the right to alter fees without notice in line with the current financial situation. Service proposals will be valid for a period of 30 days from the date of production. All RoSPA (REL) fees are subject to VAT.

3. Membership Discounts

RoSPA members are entitled to the discounts shown, provided that the relevant membership number is quoted when the booking is made, and that the membership subscription is up-to-date.

4. Course Information

Please note training packs/materials will be available via the RoSPA (REL) learning management system for online courses or for face-to-face training, via the trainer or dispatched to the location.  RoSPA (REL) literature (including course notes) is covered by RoSPA (REL) copyright and may not be reproduced without permission.

4.1 Qualification courses 

If booking a qualification course, we will require each learner’s email address and date of birth (where specified) for registration purposes.

 
4.2 Fleet Courses 
 
4.2.1  Insurance:

It is the client’s responsibility to ensure that all vehicles to be used for training are insured and that insurance companies are informed the vehicle is to be used for driver safety training. Both the delegate and the RoSPA trainer should be covered by the insurance to drive the vehicle. The client MUST provide a copy of the insurance certification with the booking form.
 
If the delegate is using their own vehicle (Grey fleet) for the training session, business insurance cover MUST be in place. Demonstration drives will not be given by the trainer in Grey Fleet Vehicles. If hire vehicles are used, demonstration drives will only be given if the insurance is provided by the client’s insurance policy and the trainer is covered.
 
If a course is to be held in a company insured vehicle, and the RoSPA trainer has adequate insurance cover to conduct a demonstration drive (Insurance certificate attached), or the course is to be held in the delegates own vehicle (Grey Fleet) or a hire vehicle without company insurance, then no demonstration drive will be given.

 
4.2.2 Licence Check 

Please ensure that all delegates required to drive on a driver training course have a valid signed driving licence for the category of vehicle they will be driving (both parts of photocard).

 
4.2.3 Vehicle Condition

 Any vehicle that a RoSPA trainer may drive or be a passenger within must be road worthy and fit for purpose. It must hold a valid MOT certificate (or equivalent) if required to do so and must be fully insured for all use.

5. Travel and Expenses

Unless otherwise stated in the service proposal, fees shown MAY NOT include travel costs and expenses, which will be recharged to the client.
 
For overseas travel, unless otherwise agreed, RoSPA will charge the client for daily expenses whilst overseas. RoSPA will charge the client for travel and rest days.

6. Cancellation and Fees

Delegates who cancel more than 28 calendar days notice before the event date will have their fees refunded, less a 25% administration charge. No refunds will be made after this date but replacement delegates may be nominated.
Any changes such as delivery date or change in delegate name will be subject to an administration cost of £50 per booking.
 
Any request for changes must be made by calling 0121 248 2000 or email [email protected] for workplace bookings or [email protected] for fleet bookings.
 
RoSPA reserves the right to cancel or alter the dates or provision of services, the venue and the individual or organisation providing the service. In the event of a RoSPA cancellation, bookings will normally be transferred to the next available date unless the client specifically requests otherwise.

 

7. Force Majeure

In an instance of a force majeure, charges for cancellations or transfers will not be enforced by RoSPA (REL). These are defined as any circumstance not in RoSPA (REL)’s reasonable control, including without limitation.

  1. Acts of God, flood, drought, earthquake or other natural disaster;
  2. Epidemic or pandemic;
  3. Terrorist attack, civil war, civil commotion or riots, war, threat of or preparation for war, armed conflict, imposition of sanctions, embargo, or breaking off of diplomatic relations;
  4. Nuclear, chemical or biological containment or sonic boom;
  5. Any law or any action taken by a Government or public authority, including without limitation prohibition of large public gatherings;
  6. Collapse of buildings, fire, explosion or accident;
  7. Non-performance or cancellation by venues, suppliers or subcontractors;
  8. Interruption or failure of utility service;
  9. Period of national mourning

RoSPA will as soon as reasonably practicable:

  1. Notify you in writing of the Force Majeure event or of its decision to cancel or postpone an event a; and
  2. Here possible RoSPA shall notify you of an alternative event date/location which you may attend (if you agree to attached such alternative event in writing); and
  3. To the extent permitted by law, you and any learner shall have no further claim whatsoever against RoSPA in respect of the cancellation or changes to an event.

8. Learner contact details

It is the learner’s responsibility to notify RoSPA in writing of any change of company name, address, telephone number email address or learner name.

9. Data Protection

9.1 Personal data is held in accordance with the Data Protection Act 2018.

9.2 RoSPA uses the information you provide to contact you about our relevant content/products/services and promotions. RoSPA will share the information you provide with our partner Croner-I, who will use your information for similar purposes. You can unsubscribe from communications from RoSPA or Croner-I at any time.

10. Copyright

The client confirms that they hold the appropriate authorisations, licenses and guarantees and there are no Copyright issues with any materials they supply to RoSPA. RoSPA will evaluate the materials and delivery in good faith as provided and no consideration will be given to these issues as part of the evaluation process. Success of the approved process will be given on merit and approval will be removed if confirmation of breach of license, authorisation, Copyright is received from a court in the UK.


Membership

1. Definitions:

1.1 "RoSPA" refers to The Royal Society for the Prevention of Accidents of 28 Calthorpe Road, Edgbaston, Birmingham, B15 1RP, United Kingdom (Registered Charity No. 207823)

1.2 “Membership” means corporate membership of RoSPA.

1.3 “Member” means your organisation or you the individual.

1.4 “Affiliate Member” is an introductory tier of RoSPA membership.

1.5 “IND or individual member” is membership held by an individual person

1.6 “SME or Small Member” is a member with 50 or less employees.

1.7 “LAR or Large Member” is a member with 51 or more employees.

1.8 “Fees” mean the fee for the Membership Period, as set by RoSPA

 

2. General

2.1 For the avoidance of doubt, in the case of discrepancy between the Terms and Conditions published on RoSPA's website and any issued hard copy of the Terms and Conditions, those published on the RoSPA's website shall prevail.

2.2 RoSPA reserves the right to change membership Terms and Conditions and benefits at any time.

2.3 RoSPA reserves the right to refuse membership to any person or organisation at its absolute discretion.

2.4 All membership benefits are non-transferable and exclusively for use by the named membership organisation.

2.5 Members who have a fully paid SME/LAR membership will have one vote at the Annual General Meeting. Affiliate, individual members or licence holders will not have a vote at the Annual General Meeting.

2.6 Subject to the acceptance of the Member’s application and receipt of the Fees in full, RoSPA shall grant the Member Membership for 12 months. RoSPA shall, prior to the start of each Membership Period, submit to the Member an invoice for the Fees for that period of time, unless the Member is paying the membership by Direct Debit. Payment for a renewal must be received in full by the expiry date to ensure uninterrupted service. In the case of late payments, the renewed period will commence on the day after the expiry date of the original Membership Period.

2.7 Once Membership has been granted the Member will receive access to My.RoSPA.com to have access to the benefits of Membership.

2.8 Members (excluding IND (individual) membership and affiliate) will have access to Croner-i Navigate-Safety Lite for the term of their membership.

2.9 Members shall not do anything which will bring or is likely to bring the reputation of RoSPA into disrepute. By purchasing RoSPA Membership you agree to be bound by these Terms and Conditions.

2.10 RoSPA Membership is for an initial period of either one, two, or three years. The initial fee and subsequent renewal fees are payable in advance, for which invoices are issued. Renewal invoices will be issued for the same length of membership as the previous term unless instructed otherwise by the member with 60 days notice to [email protected].

2.11 Once payment of the initial Membership fee has been received and processed, the applicant will be entitled to become a member of RoSPA.

2.12 RoSPA membership (full, affiliate or individual) is not an approval or endorsement of a members products or services.
 

 

3. Membership contact details and data sharing

3.1 It is the member's responsibility to notify RoSPA in writing of any change of company name, address, telephone number, email address or relevant changes of personnel, especially when this relates to the key membership contact.

3.2 RoSPA cannot accept responsibility for non-receipt of any physical or electronic mailing through incorrect provision of member contact details.

3.3 To inform RoSPA of any changes, please update your account details in My.RoSPA.com or email [email protected].

3.4 RoSPA uses the information you provide to contact you about our relevant content/products/services and promotions. RoSPA will share the information you provide with our partner Croner-I, who will use your information for similar purposes. You can unsubscribe from communications from RoSPA or Croner-I at any time.3.5 If a membership has been fully or partially funded by a third-party organisation, the data of the recipient of the membership will be shared by RoSPA with the third-party organisation who originally funded the membership.

 
4. Affiliate Membership

4.1 Affiliate membership is only available to an organisation  on a one-time basis and will be effective for a 12-month period on receipt of payment

4.2 An Affiliate membership can be upgraded to a full membership at any time, however RoSPA is under no obligation to refund the cost of affiliate membership or to offset it against the cost of the full membership.

4.3 After the initial 12 month period,  affiliate membership will automatically  upgrade to a full RoSPA Membership at  the full membership price for a LAR organisation. This can be reduced to the price of an SME organisation on request and if the organisation is eligible.

4.4 Automatic upgrade from affiliate membership to full membership will be invoiced as stated in 2.6.

4.5 Affiliate memberships adhere to the cancellation stipulations in term  6. Cancellation of membership.

 

5. Use of Member logo

5.1 Members (excluding individual and affiliate) are permitted to display the RoSPA member logo to demonstrate their support of our accident prevention mission.

5.2 RoSPA Membership does not entitle the member to use any logo or trademark owned by RoSPA (except for the RoSPA Member logo in accordance with terms and conditions below).

5.3 RoSPA membership is not an approval or endorsement of a members products or services and this must not be implied to potential customers through the positioning and/or the size of the RoSPA member logo, its repetition, or by the wording of any accompanying text mention of RoSPA. RoSPA reserves the right to withdraw use of the member logo at its discretion.

5.6 Members are only allowed to use the logo whilst their membership is fully paid. If membership lapses, the organisation must immediately cease displaying the member logo.

5.7 The electronic member logo should be hyperlinked to https://www.rospa.com/health-and-safety-membership Failure to do so can result in a request to remove the logo.

5.8 RoSPA reserves the right to publish or disclose to third parties, the names of any organisations stating or implying they are members or displaying or using the members’ logo where they are no longer fully paid members, or the Membership has been terminated due to a breach of the terms and conditions.

5.9 Members are permitted to use the RoSPA Member logo on:

  • letterheads

  • email signatures

  • annual reports/corporate brochures

  • corporate website

  • vehicles

Members are not permitted to use the RoSPA Member logo on:

  • business stationery (except letterheads)

  • catalogues/sales brochures and promotional flyers

  • quotation sheets/order forms and invoices

  • products and packaging

  • Certificates

5.10 The minimum size and exclusion zone of the RoSPA member logo are shown below and the logo should never appear to be larger than your own logo:

  • A3 – logo 36mm high, 14mm margin

  • A4 – logo 26mm high, 10mm margin

  • A5 – logo 21mm high, 8mm margin

  • DL – logo 21mm high, 8mm margin

5.11 In the event of misuse of the logo, RoSPA reserves the right to take action to protect the reputation of RoSPA Society and its bona fide members.

 

6. Cancellation of membership

6.1 Membership of all types (full, individual and affiliate) will be cancelled if a member:

  • becomes bankrupt or goes into liquidation;
  • does not pay the annual fee within 30 days of receipt of the invoice reminder notice.

6.2 RoSPA reserves the right to cancel all types of (Full, Individual and Affiliate) of membership:

  • if a member breaches any of the membership terms and conditions;
  • if a member is participating in an activity deemed detrimental to RoSPA;
  • if a member does not comply with the conditions of member logo use;
  • if a member is based in a country which has had sanctions placed on it by the UK Government
  • of any person or organisation at its absolute discretion.

6.3 A member may cancel their membership by giving written notice 60 days in advance of their new membership term.

6.4 When a membership is cancelled, for whatever reason, RoSPA is under no obligation to refund the cost of the membership including in respect of any unexpired portion of the membership.

Events

1. General

1.1 In these Terms and Conditions the term “RoSPA” refers to The Royal Society for the Prevention of Accidents. 1.2 RoSPA reserves the right to change event Terms and Conditions at any time.

2. Payment and terms

3. Membership Discounts

RoSPA members are entitled to the discounts shown provided that the relevant membership number is quoted when the booking is made, and that the membership subscription is up-to-date.

4. Cancellation of event booking

4.1 Delegates who cancel more than 28 calendar days notice before the event date will have their fees refunded, less a 25% administration charge. No refunds will be made after this date but replacement delegates may be nominated.

4.2 RoSPA reserves the right to decline bookings and attendance to any person or organisation. In such case a full refund will be issued.

4.3 RoSPA reserves the right to change to advertised date, venue and programme. In such case no refund will be issued for the fee or associated costs incurred.

4.4 To cancel a RoSPA events booking, please email [email protected].

4.5 In an instance of Force Majeure, defined as any circumstance not in RoSPA’s reasonable control including without limitation:

(a) Acts of God, flood, drought, earthquake or other natural disaster;
 
(b) Epidemic or pandemic;
 
(c) Terrorist attack, civil war, civil commotion or riots, war, threat of or preparation for war, armed conflict, imposition of sanctions, embargo, or breaking off of diplomatic relations;
 
(d) Nuclear, chemical or biological contamination or sonic boom;
 
(e) Any law or any action taken by a government or public authority, including without limitation, prohibition of large public gatherings;
 
(f) Collapse of buildings, fire, explosion or accident;
 
(g) Non-performance or cancellation by venues, suppliers or subcontractors;
 
(h) Interruption or failure of utility service;
 
(i) National mourning.

RoSPA will as soon as reasonably practicable:

  • Suspend obligations to perform the contract for the duration of the event
  • Notify all parties regarding the postponement or cancellation of event

5. Delegate contact details

5.1 It is the delegates responsibility to notify RoSPA in writing of any change of company name, address, telephone number, email address or delegate name.

5.2 RoSPA cannot accept responsibility for non-receipt of Joining Instructions, or mailings through incorrect provision of delegate contact details.

5.3 RoSPA uses the information you provide to contact you about our relevant content/products/services and promotions. RoSPA will share the information you provide with our partner Croner-I or Turnstone Law, who will use your information for similar purposes. You can unsubscribe from communications from RoSPA, Croner-I or Turnstone Law at any time.

5.4 To inform RoSPA of any changes, please email [email protected].

6. Free to attend events

6.1 When an event is free to attend a delegate should give RoSPA 48 hours’ notice of none attendance by emailing [email protected]. Should a delegate not give 48 hours’ notice of none attendance then a charge of £100 plus VAT will be made as a cancellation charge to cover costs.

7. Data Protection

7.1. No variation to these terms shall be effective unless agreed in writing and signed on behalf of RoSPA.  

7.2. We may share information (including personal data and information about your organisation) with third parties, for example, name and job title of your delegates may be shared with other delegates, sponsors, suppliers and exhibitors for the purpose of co-ordinating activities during the event.  

7.3. Please see our privacy notice for information about how we use personal data https://www.rospa.com/help-information/privacy You agree to provide this privacy notice to any of your staff who will come into contact with RoSPA.

7.4. These terms shall prevail over any terms or conditions which you may seek to incorporate into any agreement with RoSPA.  

7.5. RoSPA reserves the right to change these terms and conditions.  

7.6. These terms shall be governed and construed in accordance with English Law and each party agrees to submit to the non-exclusive jurisdiction of the English Courts as regards any claim or dispute.  
 

8. Photography

Event delegates may be photographed and / or filmed during the event. Event imagery may potentially be used by RoSPA for publicity purposes. Please refer to our Privacy Notice for further details at www.rospa.com/privacy.

RoSPA Health & Safety Awards

Terms and Conditions (Terms)

Definitions:

‘Us’, ‘we’ and ‘our’ mean RoSPA

‘Award Winners’ means an organisation that has achieved a RoSPA Health & Safety Award.

‘You’, ‘your’ and ‘entrant’ means person and/or organisation placing an order for RoSPA products and services.

'Force Majeure Event' means any circumstance not in RoSPA's reasonable control including without limitation:

  1. Acts of God, flood, drought, earthquake or other natural disaster;
  2. Epidemic or pandemic;
  3. Terrorist attack, civil war, civil commotion or riots, war, threat of or preparation for war, armed conflict, imposition of sanctions, embargo, or breaking off of diplomatic relations;
  4. Nuclear, chemical or biological contamination or sonic boom;
  5. Any law or any action taken by a government or public authority, including without limitation, prohibition of large public gatherings;
  6. Collapse of buildings, fire, explosion or accident;
  7. Non-performance or cancellation by venues, suppliers or subcontractors;
  8. Interruption or failure of utility service;
  9. National mourning.


‘Presentation(s)' means a presentation ceremony to be hosted by RoSPA.
 'Gala Dinner' means a gala dinner to be hosted by RoSPA.
 ‘Late’ means after the specified deadline has passed. 
 ‘Reputational Risk’ means health and safety and non-health and safety issues which may pose a significant reputational risk to RoSPA. 
 'Terms' means these terms and conditions.

 

Entry submission

 
  1. All Sector, Fleet Safety, Specialist, Inspiration awards, Inspiring Women in Safety entries, and Achievement Awards to be presented at a RoSPA ceremony, must be submitted via the RoSPA online entry system between January 1, 2024 up to and including January 22, 2025 (23:59 GMT).  
  2. Achievement Award entries for postal dispatch only, must be submitted via the RoSPA online entry system between January 1, 2025 up to and including June 18, 2025 (23:59 GMT).  
  3. Specialist, Inspiration or Inspiring Women in Safety Award entries that are not submitted by January 22, 2025 (23:59 GMT) will be excluded from consideration.
  4. Sector Award entries that are not submitted by January 22, 2025 (23:59 GMT) will be excluded from the competition and related excellence trophies, and transferred to the Achievement Award category, with an amended submission date of June 18, 2025 (23:59 GMT). They will still receive the written feedback and no refund in fee will be given for the change of category.
  5. Fleet Safety entries not submitted by January 22, 2025 (23:59 GMT) will be excluded from the competition but will still be assessed and graded, with an amended submission date of June 18, 2025 (23:59 GMT).
  1. Entrants agree to: 
  1. complete all required sections of the entry, based on activity which took place during the qualifying year (i.e. January 1 to December 31, 2024). To be eligible for the full range of RoSPA Award grades, including a Gold-level Award, an organisation must have operational evidence and accident reporting data for the full previous calendar year. Entrants with between six and twelve months may enter, but will have an upper limitation of a Silver level award; 
  2. complete all mandatory aspects of the entered categories, including commentary on any RIDDOR reportable incidents or requested incident categories and enforcement action.  If not completed, approaches for additional information or clarification will be made after the published result notification period, and will cause delays in confirming your result outcome;
  3. any ongoing incident investigations that are under legal privilege will lead to a result being on hold, until sufficient information is available to RoSPA to make a grade decision;
  4. provide supporting evidence from the qualifying year; 
  5. provide no more than eight documents of support evidence per section; 
  6. reference uploaded supporting evidence to the relevant section of each response; 
  7. all the information including evidence documentation supplied to RoSPA through the online awards registration process and online awards entry processing system will be kept for a period of five years for purposes of verification and consistency checking; 
  8. the data being held within the awards entry processing system and also in any other processing system necessary for delivering the complete awards scheme and corresponding ceremonies, please see the awards privacy policy; 
  9. purchasing a registration concludes the contract for this registration service and will commence the entry process which is subject to the terms under clauses 10-17. 
  10. for entrants to the Achievement Award – CHAS Foundation, and Achievement Award – CHAS Higher award categories, RoSPA sharing the registered ‘entry name’ and CHAS membership number with Veriforce CHAS, for verification of CHAS Membership credentials please see the awards privacy policy ; 
  11. not submit any completed entry prior to January 1, 2025. Entries submitted before the end of 2024 will be returned to entrants, and responsibility taken on by the entrant to resubmit ahead of their category’s submission deadline.
  1. Entrants should note:  
  1. the Sector, Achievement, Fleet Safety and Specialist awards are made to organisations, not individuals 
  2. the Distinguished Service Award, Pride Award, Influencer Award, and Inspiring Women in Safety Award are only awarded once to an individual and are subject the RoSPA Awards terms under clauses 35-42;  
  3. all entries must be completed on the entry system specified by RoSPA;  
  4. responsibility is on the entrant to submit a complete entry that fully represents their organisation's health and safety management system - not the RoSPA assessors’ to request additional information;  
  5. responsibility is on the entrant to take a copy of their submission before completing the Declaration section and fully submitting their entry;  
  6. assessment of entries that do not follow the required format will be delayed, released for correction, downgraded or even excluded;  
  7. changes should not be made to the category selection and name applied to each entry within the online entry system.  These changes can only be made on request via RoSPA and may incur additional fees.  Unauthorised changes to this information by an entrant may result in delays, loss of entrant data, or even exclusion of the award submission;   
  8. submission of an entry will be taken as a declaration attesting to its completeness and accuracy and the entry is submitted to the RoSPA Awards scheme in good faith;  
  9. entries from organisations outside of the UK must include sufficient information in English for the level of performance to be assessed. Name and company of an independent third-party auditor must be supplied and contact details made available on request;  
  10. assessment of entries is based on the current year's submission and grades assigned irrespective of company size and/or previous year’s achievements;  
  11. for achievement award entrants who submit by January 22, 2025 (23:59 GMT) deadline, RoSPA reserve the right to reassess the highest-performing entrants against the Sector Award mark criteria. In exceptional circumstances, RoSPA may choose to issue an Industry Sector-level award to a high-performing achievement award entrant.  Such promotions will not be eligible for the Sir George Earle trophy, or feedback if not already purchased at the point of registration;  
  12. after January 30, 2025 (23:59 GMT) for award entrants who register by January 13, 2025 (23:59 GMT) deadline, and after June 27, 2025 (23:59 GMT) for award entrants who register by June 18, 2025 23:59 (GMT) deadline, amendments to the entry name to be shown on awards will incur an additional charge as follows: Merit – Gold certificates charged at £45+VAT each. All other award types to be charged at the 2025 Awards Collection rates as shown in the RoSPA web shop;   
  13. dispatch of awards where entrants submit by the January 22, 2025 entry deadline, will commence June 2, 2025.  Dispatch of awards for entries submitted after this entry deadline will commence from August 11, 2025. Deliveries can take between 1-3 weeks to arrive depending on location. All tax/duties must be paid by the recipient organisation; 
  14. international (non-UK) shipping of awards will incur fees payable prior to dispatch;
  15. the Winners' List will be published on the RoSPA Awards website on May 13, 2025. It will contain only the entry name and notified result(s) of the entries submitted by January 22, 2025. All other notified results will be added to the list by August 4, 2025;  
  16. the Sir George Earle Trophy winner will be required to sign a custody agreement and cover the costs of repair or replacement, as necessary, of the trophy, stand and/or its travel case, along with the return transit costs. International delivery charges, including but not limited to import tax/duties must be covered in full by the winner.  Where international delivery charges are deemed too high by either party, an alternative commemorative trophy will be discussed. 
 
  1. Organisations with fatal accidents in the qualifying year (i.e. January 1 to December 31, 2024) should not register without first seeking authorisation from the RoSPA Awards Standards Team Manager to do so - as an award (if appropriate) will not be possible until all relevant information can be provided. 
  1. If an application is made containing a fatal accident in the qualifying yea (i.e. January 1 to December 31, 2024), full details must be provided of each case, including the findings of any subsequent investigation/court case/coroner's hearing to prove to the judging panel's satisfaction that the event concerned was not the result of management failure by the organisation. Where all relevant information is unavailable for any reason no award will be made. Where information is available, the assessment process will be extended to incorporate detailed investigation. Approaches for additional information or clarification will be made after the published result notification period, and will cause delays in confirming your result outcome. If it is deemed by RoSPA that an award is inappropriate, no award will be made. RoSPA's decision is final.

Fees, cancellations and Late Entries 

  1. No refunds once the order is accepted and the entrant logs into the awards entry system due to the proprietary nature of the content. If the entrant hasn’t logged onto the system, then a full refund or credit note is available if written notification is received within 14 calendar days of purchase to [email protected] 
  1. Non-submission of an entry does not constitute a cancellation.  
  1. All registrations require full payment of the appropriate entry fee. Non-payment of the relevant fee will invalidate the entry.  
  2. Extension to entry deadlines for the Achievement award category will incur a late entry submission fee of £124+VAT payable before the original submission deadline extended by seven calendar days. Fleet Safety award deadline extensions incur the same fee, but are only offered to entrants who have registered for the June 18, 2025 (23:59 GMT) submission deadline.
  3. No guarantee is made that an award resulting from a late entry will be included in any official ceremony. 

Sector Award Categories

 
  1. RoSPA reserves the right to merge and/or introduce additional categories and if necessary to re-allocate entries to a sector other than that selected. 
  2. RoSPA reserves the right not to award a Specialist Award, Inspiration Award or Sector Award for a particular industry sector if the Adjudication Panel considers that none of the entries received has demonstrated a sufficiently high standard.  
  3. Sector entries are first assessed for the appropriate Achievement grade – Merit, Bronze, Silver or Gold.  Only the highest scoring entries achieving the Gold grade go forward to the second round of the Sector competition.  
  4. Entrants who do not win their industry sector award or receive a sector commendation will be assigned the appropriate Achievement grade award.  
  5. Entrants who win their industry sector or receive a sector commendation will be presented the corresponding award/trophy in place of the Achievement grade award.  Sector wins and commendations are included in consecutive awards history.  
  6. As part of the Sir George Earle Trophy, the three finalists will be required to host a visit by RoSPA judges. . This is followed by a judgingPanel interview (to be held in Birmingham or virtually).. The final selection criteria centres on the entrants legacy of winning such a prestigious award.  Both site visit and interview dates will be advised at short notice and will take place in March 2025.  
  7. The current holder of the Sir George Earle Trophy, although still able to enter the industry sector award competition, will not be eligible for shortlisting as a Sir George Earle Trophy finalist in the following year’s round (e.g. 2024 winner will not be eligible in 2025)

Assessment and Sample Checking

  1. The Society arranges for scrutiny of a random selection of entrants to verify their submissions. Telephone interviews or visits may be arranged to any entrant at any stage in the year, either before or after result notification.  If verification activity is not complied with, and/or an entry is found not to be representative of real-world safety management practices, RoSPA reserve the right to withdraw any awards previously made. 
  2. RoSPA may make enquiries as necessary and may visit any entrant's premises. Applicants may be required to attend a meeting to make a verbal presentation of their entry.
  3. RoSPA will not make an award in any case where there are reasonable grounds to suggest that the entry is deliberately incomplete or contains false information.
  4. RoSPA reserves the right to revoke or change the level of any award made should information come to its attention that would have materially affected the Adjudication Panel's decision.  This includes required/requested information that may have not been disclosed, information related to clause 35. or other information that a reasonable person would consider poses a reputational risk in connection with celebration of high standards of health and safety.
  5. RoSPA also reserves the right to vary or revoke any reward

Intellectual Property

  1. The design and format of the RoSPA Awards scheme logos and stationery are the intellectual property of the Royal Society for the Prevention of Accidents. Other than the specified permitted use of the appropriate award logo, reproduction and/or modification of these and of all RoSPA Awards trophies and merchandise is strictly prohibited.  

Reputational Risk to RoSPA

  1. For significant incidents involving members of the public – whether RIDDOR reportable or requested incident categories or not, each incident should be disclosed to RoSPA with accompanying details, especially where an ongoing dispute may still be in progress.
  2. Non-disclosure of issues will result in disqualification without appeal. 
  3. Non-disclosure of issues which come to light after a grade has been assigned may result in the award being revoked or downgraded.   
  4. Disclosed issues will be investigated to identify the appropriate course of action. This action could include disqualification, award revoked, reduced grade, award suspended pending official investigation or award retained. 
  5. If any issues:
    1. this could include but not limited to: fatalities, major/specified injuries, prosecutions, and negative publicity whether factual or not;  
    2. whether health and safety-related or not; 
    3. give rise to adverse publicity for your organisation during the period following the submission of your entry and up to and including the date of your selected presentation ceremony, it is the responsibility of the entrant to inform RoSPA in writing by emailing [email protected]
  6. RoSPA reserves the right to withhold the presentation of any award it deems to be inappropriate at the time of the selected ceremony. 
  7. Reputational issues that come to light after award assessment or presentation will be investigated to identify the appropriate course of action. This action could include disqualification, award revoked, reduced grade, award suspended pending official investigation or award retained. 
  8. RoSPA reserves the right to publicise the reason for withdrawal or downgrade of any reward.

Grade Review

  1. Queries about grades awarded will be considered only after the initial judging phase has been completed. This process may delay or exclude the award from presentation. 
  2. Grade Review requests must be received in writing within 5 working days of result notification. A short statement is required of why the grade is considered incorrect, along with additional payment for one of the available Grade Review options:
    1. Reassessment £109 plus VAT or
    2. Reassessment with Feedback £305 plus VAT

A Grade Review may result in the previously advised award level being promoted, remaining the same or being downgraded. As with all entries in the scheme, RoSPA reserves the right to change the grade awarded if information is later received that would have affected the grade if known at the time of initial assessment. 

  1. Further correspondence will not be entered into and RoSPA's decision is final. 

Third Party Complaints

  1. In the event of 'third party' complaints, RoSPA expects complainants and entrants to take all reasonable steps to resolve the issues prior to the matter being submitted to the Panel. RoSPA cannot act as a 'referee' in what are sometimes complex, longstanding and ongoing disputes, and reserves the right to reject disputed entries or investigate to identify the appropriate course of action. This action could include disqualification, award revoked, reduced grade, award suspended pending official investigation or award retained. 

Awards Ceremony and Gala Dinner

  1. RoSPA will hold two award ceremonies. Tuesday 13th May 2025, JW Marriott Grosvenor House Hotel, London and Thursday 25th September, JW Marriott Hotel Marina, Dubai. Further information about the ceremonies and how to book will be released with results.
    1. Awards entry registration does not constitute a ceremony booking, ceremony bookings require a separate booking. The booking will open when results are released;  
    2. failure to notify in writing by the advised deadline non-attendance of your chosen presentation ceremony will incur an additional charge of £26 plus VAT, payable before your award is dispatched. This charge is to cover ceremony packing and transit costs in addition to the postage for dispatching the award after the ceremony. Notification after the advised deadline will still incur the additional charge as awards will be packed for the ceremony;  
    3. RoSPA reserves the right if necessary to alter publicised presentation ceremony dates and/or venues. Any change will be notified as far in advance as possible. RoSPA is not liable for any additional costs incurred by entrants, attendees and/or entrant company as a result of any such changes; 
    4. only adults aged 18 and over may attend Gala Dinners and daytime presentation ceremonies.  This is a requirement of both RoSPA and our event venues;
  2. If RoSPA either:
    1. is prevented or hindered from performing its obligations under these Terms by a Force Majeure Event, requiring RoSPA to cancel a presentation or gala dinner ceremony; or 
    2. determines that in the interest of health and safety, and/or the wellbeing of the public and/or in the public interest, it is necessary to cancel or postpone a presentation ceremony; RoSPA shall not be in breach of these Terms or otherwise liable for any failure in the performance of such obligations or consequences of such a determination. 
  3. In the events specified in clause 40:
    1. as soon as reasonably practicable RoSPA shall notify you in writing of the Force Majeure Event or of its decision to cancel or postpone a presentation ceremony; and    
    2. where possible RoSPA shall notify you of an alternative presentation ceremony which you may attend (if you agree to attend such alternative presentation ceremony in writing); and   
    3. to the extent permitted by law, you and your guests shall have no further claim whatsoever against RoSPA in respect of the cancellation of a presentation ceremony. 

Publicity

  1. RoSPA Award grades are assigned based on entrants' management of the health, safety and wellbeing of employees, contractors and others to whom a duty of care is owed in the area of undertaking and during the calendar year specifically covered by an entry. An award does not indicate general endorsement by RoSPA of products, operations or business practices and this must not be stated or implied in any related Public Relations activity.
  2. RoSPA will require correction or, if necessary, withdrawal of PR statements it considers are likely to mislead and/or cause reputational damage to the Society or to the RoSPA Awards programme. Award winners should be mindful of how the timing of any PR related to their award may be interpreted externally and, in particular, should not proactively publicise their award to mitigate specific health and safety-related complaints from third parties.  

General

  1. For the avoidance of doubt, in the case of discrepancy between the Terms published on RoSPA’s website and any issued hard copy of the Terms, those published on the RoSPA’s website shall prevail. 
  2. RoSPA reserves the right to change the Health & Safety Awards Terms at any time. 
  3. No variation to these Terms shall be effective unless agreed in writing and signed on behalf of RoSPA. 
  4. Please see our privacy notice  for information about how we use personal data. You agree to provide this privacy notice to any of your staff who will come into contact with RoSPA.
  5. These Terms shall prevail over any terms or conditions which you may seek to incorporate into any agreement with RoSPA. 
  6. These Terms shall be governed and construed in accordance with English Law and each party agrees to submit to the non-exclusive jurisdiction of the English Courts as regards any claim or dispute.

1. Eligibility to order

1.1 Only current Award winners are entitled to purchase items from the Awards Winners collection.
1.2 You must provide us with a non-PO box delivery address.
1.3 You possess a valid payment method that works on our website.
1.4 Orders for international delivery, must first apply for a freight quote.
 

2. Order Acceptance

2.1 All orders placed on the website are subject to acceptance in accordance with the following:
  1. You will be given the opportunity to confirm the details of your order, including your address and payment details, prior to completing your order.
  2. When you place an order, we will send you an acknowledgement email to let you know that we have received your order.
  3. Once you press the ‘Order Now’ button, you have given us permission to process your order as requested
2.2 We may be unable, or refuse, to accept your order due to:
  1. one or more products in your order are unavailable;
  2. we are unable to process payment for your order, or your chosen payment method has been refused;
  3. we have identified a pricing or product description error;
  4. your order fails to meet the requirements of local import restrictions or requirements at your delivery destination.

3. Prices, Payment and Charges

3.1 We take care to ensure products are priced correctly on our website, but occasionally pricing errors may occur. If we have made an error in the price of a product that you have ordered, our Awards & Events team will contact you. You will have the option to reconfirm your order at the correct price or cancel it.

3.2 Please note: prices for products on our website may change and offers may be withdrawn at any time. Offers and promotions may be available online only.

3.3 The product prices advertised are excluding of UK VAT. If applicable VAT will be charged in addition at checkout.

3.4 Shipping costs are not included in the prices advertised and will be charged in addition at checkout.

3.5 We will be pleased to supply a quote for international freight cost on request. Freight quotes do not include import duties (see clause 3.6 below). The online UK shipping cost will be deducted from the quote. International freight cost will be invoiced separately after acceptance of the quote has been received in writing.

3.6 Depending on your delivery address, different taxation rules and additional charges may apply. If you are shipping items internationally, you may need to pay import duties upon receipt of the products. We do not have any control over these charges and we cannot advise on their amount. You will be responsible for payment of any such import duties and taxes. Please contact your local Customs office for further information and a ‘landed cost estimate’ before placing your order.

3.7 All credit and debit cards are subject to validation checks and authorisation by your card issuer. If the issuer of your payment card refuses to or does not, for any reason, authorise payment, we will not be liable for any delay or non-delivery.

3.8 Payment terms are net 30 days from the date on the invoice. Orders will only be processed and dispatched when payment for the whole order is received in full by RoSPA, and allocated to your invoice by RoSPA’s finance team.

3.9 Should you choose to cancel or return products purchased in a promotion or at a discounted price, you will be refunded for the goods at the price charged at the Checkout. Please note: you are subject to our Returns Policy (see clause 6.3. below) when returning products purchased in a promotion or at a discounted price.


4. Product Descriptions and Restrictions

4.1 We do not guarantee that the product images you see on our website are an accurate representation; occasionally, colours may differ from the images shown on the website due to your computer/device screen resolution or settings.

4.2 All products are subject to availability at the point of purchase. Once a product is sold out, it will be taken off the website and may not be available again. If any products you order are out of stock, we will contact you so that you can cancel the whole or part of your order.

4.3 Awards, plaques and salvers will be issued at the award level achieved.

4.4 Substitutions will only be made with your prior consent. If a replacement product has a higher price, you will be liable to pay for the difference in price. If we are unable to contact you, we may cancel the whole order, or cancel the relevant parts and proceed with the transaction.

 

5. Delivery

5.1 Orders will only be processed and dispatched when payment for the complete order is received in full by RoSPA. (see clause 3.8 above).

5.2 Our delivery options vary by shipping destination, product and service.

5.3 Orders may not be dispatched prior to the presentation ceremony.

5.4 The quoted shipping cost is for a single delivery of the complete order. If you require your items to be delivered separately as they become available, additional shipping costs will be charged. Please email [email protected] to request this service.

5.5 On occasion, we may experience delivery delays for reasons beyond our control. In those instances, our Awards & Events team will contact you as soon as possible.

5.6 It is your responsibility to comply with all requirements imposed by the local Customs authority in relation to your order. Before placing an order, we recommend that you make yourself aware of local import duties or other requirements. RoSPA will not be liable or responsible if you breach any such laws.

5.7 Goods will not be dispatched during periods of national mourning.
 

6. Cancellations and Returns

6.1.       Order Cancellation

  1. Depending on where you live, you have a legal right to cancel your order under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 or equivalent consumer legislation in the EU. You are entitled to cancel your order within 14 days of receipt. Please note: your right to cancel does not apply to special order items.

  2. Once the products are returned to us, you will receive a full refund, excluding the original UK shipping cost. You will be liable to arrange and cover the full cost of returning the order to us.

  3. To exercise this right, please contact our Awards & Events team. Please ensure that you state clearly that you wish to cancel, providing your order number, your contact details and details of the products you wish to cancel.

  4. If an order has already been dispatched for delivery, please wait until you have received your order before exercising your return rights.

6.2.       Refunds of Shipping and Duties

  1. The original delivery cost won’t be included in your refund. Please note: you will be responsible for reclaiming duty directly from your local Customs office.

6.3.       RoSPA Returns Policy
In addition to your statutory rights, RoSPA offers the following rights of return:

  1. Your right to return unwanted products does not apply to special order items.

  2. Unwanted products may be returned for a refund or exchange if they are returned unused and in their original condition within 14 days of delivery.

  3. If through your handling the products have decreased in value, we may deduct the amount of such loss from the amount reimbursed to you.  ‘Reputational Risk’ means health and safety and non-health and safety issues which may pose a significant reputational risk to RoSPA. 
'Terms' means these terms and conditions.

1. General

1.1 For the avoidance of doubt, in the case of discrepancy between the Terms and Conditions published on RoSPA’s website and any issued hard copy of the Terms and Conditions, those published on the RoSPA’s website shall prevail.

1.2 RoSPA reserves the right to change Award Sponsorship Terms and Conditions and benefits at any time.

1.3 RoSPA reserves the right to refuse Sponsorship to any person or organisation at its absolute discretion.
 
1.4 RoSPA reserve the right to make changes to the awards scheme, categories and ceremonies as it deems suitable.

1.5 All Sponsor benefits are non-transferable and exclusively for use by the named organisation.

1.6 Subject to the acceptance of the Award Sponsorship proposal and receipt of the Fees in full, RoSPA shall grant the Sponsor for a minimum 3-year sponsorship period (unless already agreed in writing in advance of the start of the sponsorship period).

1.7 Thereafter, RoSPA will require 12 months’ notice to withdraw from Award Sponsorship
 

2. Payment and Terms

2.1 Payment terms are 30 days following the date of invoice, or before attendance of the event if it falls earlier, unless stated differently on the front of the invoice.

2.2 Fees quoted are correct at the time of publication, RoSPA reserves the right to alter fees without notice.

2.3 RoSPA fees are subject to VAT

2.4 RoSPA shall, prior to the start of each sponsorship period, invoice for the full amount of the sponsorship and submit to the Organisation an invoice for the Fees for that period of time. Payment must be received in full by the agreed date as per the proposal to ensure uninterrupted benefits of Sponsorship, such as Awards marketing. In the case of late payments, the sponsor may have missed benefits of sponsorship via planned marketing activity.

2.5 Sponsors will benefit from invitation to RoSPA hosted events and ceremonies along with other tailored benefits as detailed within the signed proposal schedule.

2.6 Should a Sponsor do something to bring the Awards/RoSPA or Health & safety into disrepute or anything that is likely to bring the reputation of RoSPA into disrepute, RoSPA have the right to withdraw the organisation as a Sponsor.

2.7 By purchasing RoSPA Award Sponsorship you agree to be bound by these Terms and Conditions.

2.8 Once payment of the initial Award Sponsorship fee has been received and processed, the organisation will be added to the Sponsors | Health and Safety Awards - RoSPA on RoSPA.com
 

3. Cancellation of Award Sponsorship

3.1 Sponsorship will be automatically cancelled if a sponsor:

a. becomes bankrupt or goes into liquidation;
b. does not pay the annual fee within 30 days of receipt of the invoice reminder notice.
 
3.2 RoSPA reserves the right to cancel sponsorship:

  1. if a sponsor breaches any of the sponsorship terms and conditions;

  2. if a sponsor is participating in an activity deemed detrimental to RoSPA;

  3. When a sponsorship is cancelled, for whatever reason, RoSPA is under no obligation to refund the cost of the sponsorship including in respect of any unexpired portion of the sponsorship.

1. Payment details:

A completed booking form indicating one of the following payment methods will denote acceptance of the cancellation clause below.

2. Cheque:

A cheque drawn on a UK bank is the preferred method of payment. Cheques should be made payable to ‘RoSPA’.

If you are prevented from keeping the appointment please let us know immediately. A short notice postponement of less than three clear days will incur a cancellation charge (£35).

5. Declaration:

I enter the advanced test and refresher tests of RoSPA Advanced Drivers and Riders entirely at my own risk. I agree that The Royal Society for the Prevention of Accidents, its examiners, representative members, officers, servants and agents shall not be liable to me for any loss, damage or injury or any consequential or indirect loss (save for personal injury or death caused by the negligence of any the aforementioned) sustained during or as a consequence of my undertaking any of the said tests. I further undertake to indemnify the Royal Society for the Prevention of Accidents against all loss, damage, claims or injury sustained by them by reason of any act, or omission or neglect of mine during or as a consequence of my undertaking any of the said tests.

'Force Majeure Event' means any circumstance not in RoSPA's reasonable control including without limitation:

  1. Acts of God, flood, drought, earthquake or other natural disaster;

  2. Epidemic or pandemic;

  3. Terrorist attack, civil war, civil commotion or riots, war, threat of or preparation for war, armed conflict, imposition of sanctions, embargo, or breaking off of diplomatic relations;

  4. Nuclear, chemical or biological contamination or sonic boom;

  5. Any law or any action taken by a government or public authority, including without limitation, prohibition of large public gatherings;

  6. Collapse of buildings, fire, explosion or accident;

  7. Non-performance or cancellation by venues, suppliers or subcontractors;

  8. Interruption or failure of utility service;

  9. National mourning.

 
‘Presentation(s)' means a presentation ceremony to be hosted by RoSPA.
 
Late’ means after the specified deadline has passed. 
 
‘Reputational Risk’ means issues which may pose a significant reputational risk to RoSPA. 
 
'Terms' means these terms and conditions. 
 

Entry Submission  

  1. All Awards to be presented at a RoSPA event, must be submitted via the suggested method entry and adhere to the word and evidence guidelines provided. (Between January 1, 2023 up to and including January 1, 2024  (23:59 GMT)).  

  2. Late entries will be excluded from consideration.  

  3. By submitting, entrants agree to: 

  1. complete all questions within the entry, based on activity which took place during the qualifying year

  2. provide supporting evidence from the qualifying year to support answer where deemed necessary; 

  3. provide no more than five documents of support evidence per section; 

  4. all the information including evidence documentation supplied to RoSPA through the registration process will be kept for a period of five years or a secure system; 

  1. Entrants should note:  

  1. the awards are made to organisations, not individuals 

  2. responsibility is on the entrant to submit a complete entry that fully represents their organisation. RoSPA assessors will not be requesting additional information;  

  3. assessment of entries that have not followed the required format or met the requirements may be removed from the process;  

  4. entries from organisations outside of the UK must include sufficient information in English for the level of performance to be assessed.

  5. the Winners' List will be published on the RoSPA Qualifications website.

  6. award presentations will be allocated on a first come first served basis and in accordance with events specified in clause 10 and therefore cannot be guaranteed;  

  7. An awards entry submission does not constitute a ceremony booking;  

  8. RoSPA reserves the right if necessary to alter publicised presentation ceremony dates and/or venues. Any change will be notified as far in advance as possible. RoSPA is not liable for any additional costs incurred by entrants, attendees and/or entrant company as a result of any such changes; 

 

Fees, Cancellation and Late Entries 

  1. This is a free to enter award for organisations within the RoSPA Qualifications Course Assurance process

  2. No award will be given to an organisation with any unpaid invoices

  3. No extension deadlines can be granted due to the strict time constraints within the judging process.

  4. If RoSPA either: 

  1. is prevented or hindered from performing its obligations under these Terms by a Force Majeure Event, requiring RoSPA to cancel a presentation; or 

  2. determines that in the interest of health and safety, and/or the wellbeing of the public and/or in the public interest, it is necessary to cancel or postpone a presentation ceremony; RoSPA shall not be in breach of these Terms or otherwise liable for any failure in the performance of such obligations or consequences of such a determination. 

  1. In the events specified: 

  1. as soon as reasonably practicable RoSPA shall notify you in writing of the Force Majeure Event or of its decision to cancel or postpone a presentation ceremony; and    

  2. where possible RoSPA shall notify you of an alternative presentation ceremony which you may attend (if you agree to attend such alternative presentation ceremony in writing); and   

  3. to the extent permitted by law, you and your guests shall have no further claim whatsoever against RoSPA in respect of the cancellation of a presentation ceremony.  

Assessment and Sample Checking 

  1. RoSPA will not make an award in any case where there are reasonable grounds to suggest that the entry is deliberately incomplete or contains false information.

  2. RoSPA reserves the right to revoke any award made should it come to its attention that required information was not disclosed which would have materially affected the Adjudication Panel's decision.  

  3. RoSPA also reserves the right to vary or revoke any award. 

Intellectual Property 

  1. The design and format of the RoSPA Qualifications Awards scheme logos are the intellectual property of the Royal Society for the Prevention of Accidents. Other than the specified permitted use of the appropriate award logo, reproduction and/or modification of these and of all RoSPA Awards is strictly prohibited.  

Publicity 

  1. An award does not indicate general endorsement by RoSPA of products, operations or business practices and this must not be stated or implied in any related Public Relations activity.  

  2. RoSPA will require correction or, if necessary, withdrawal of PR statements it considers are likely to mislead and/or cause reputational damage to the Society or to the RoSPA Awards programme. Award winners should be mindful of how the timing of any PR related to their award may be interpreted externally and, in particular, should not seek to proactively publicise their award to third parties without prior discussion with RoSPA.  

Reputational Risk to RoSPA 

  1. RoSPA reserves the right to withhold the presentation of any award it deems to be inappropriate at the time of the selected ceremony. 

  2. Reputational issues that come to light after presentation will be investigated to identify the appropriate course of action. This action could include disqualification, award revoked, award suspended pending official investigation or award retained.  

  3. RoSPA reserves the right to publicise the reason for withdrawal or downgrade of any award.  

Third Party Complaints 

  1. In the event of 'third party' complaints, RoSPA expects complainants and entrants to take all reasonable steps to resolve the issues prior to the matter being submitted to the Panel. RoSPA cannot act as a 'referee' in what are sometimes complex, longstanding and ongoing disputes, and reserves the right to reject disputed entries or investigate to identify the appropriate course of action. This action could include disqualification, award revoked, award suspended pending official investigation or award retained. 

Photography 

  1. Awards attendees consent to the use of their personal data and agree that they may be photographed and / or filmed during the award ceremonies. Ceremony imagery may potentially be used by RoSPA for publicity purposes. Please refer to our Privacy Notice for further details at www.rospa.com/privacy

General 

  1. For the avoidance of doubt, in the case of discrepancy between the Terms published on RoSPA’s Qualifications website and any issued hard copy of the Terms, those published on the RoSPA’s Qualifications website shall prevail. 

  2. RoSPA reserves the right to change the RoSPA Qualifications Awards Terms at any time. 

  3. No variation to these Terms shall be effective unless agreed in writing and signed on behalf of RoSPA. 

  4. These Terms shall prevail over any terms or conditions which you may seek to incorporate into any agreement with RoSPA.
